BOYS AND GIRLS CLUB COMMUNITY SERVICES OF DELTA/RICHMOND (BGCCS) is committed to protecting your personal information through responsible privacy policy and procedures. Any personal information is collected, used and disclosed in compliance with the Personal Information Protection Act (PIPA)[and/or the Freedom of Information and Protection of Privacy Act and the Document Disposal Act.

I. WHAT IS PERSONAL INFORMATION?
Personal information means information about an identifiable individual. It includes:
- Your name
- Address
- Telephone number
Personal information does not include the name, job title, business address, telephone number or other contact information of an individual at a place of business.
Your personal information may be collected in any form, whether oral, electronic or written.
II. WHAT IS COVERED BY BGCCS PRIVACY POLICY AND PROCEDURES?
Our privacy policy and procedures apply to the collection and management of personal information we hold about clients, donors, members, volunteers, and employees.
III. YOUR RIGHT TO PRIVACY AND OUR WEBSITE
Our privacy policy applies to personal information collected through our website. However, it does not apply to technical information about your visit to our website (e.g. number of visits during certain period) and that is gathered and stored by us for the purposes of collecting recruitment information, research, website planning and design.
Please be aware that BGCCS is not responsible for the privacy practices and /or content of external sites users can access through links provided for your convenience on our website.
IV. HOW DOES BGCCS PROTECT YOUR PERSONAL INFORMATION?
BGCCS gives you control over your personal information, including the rights to:
- Know who is responsible for protecting your personal information at BGCCS;
- know for what purposes BGCCS collects, uses and/or discloses your personal information;
- expect BGCCS to collect, use and/or disclose your personal information with your consent, unless made exempt by the Personal Information Protection Act and/or Freedom of Information and Protection of Privacy Act.
- expect BGCCS to destroy, erase or make anonymous your personal information when no longer needed for the purpose for which it was collected or no longer required to be retained by the Province;
- expect BGCCS to use and/or disclose accurate and complete personal information about you;
- expect BGCCS to protect your personal information by taking appropriate security safeguards;
- request access to your personal information and ask for corrections;
- complain about how BGCCS handles your personal information.
V. FOR WHAT PURPOSES DO WE COLLECT YOUR PERSONAL INFORMATION?
BGCCS collects your personal information only for the following purposes:
- to understand our clients’ needs, to verify eligibility for memberships and solicit renewal of your memberships, to establish a database for mailing lists, to establish, manage and terminate employment relationship with the Organisation, to meet legal, regulatory and any BC public body’s requirements.
BGCCS may update this list depending on the development of its activities.
VI. HOW CAN YOU ACCESS YOUR PERSONAL INFORMATION
You can have access to any personal information collected about you by submitting a written and fully signed request via fax or regular mail to our Privacy Officer. You must provide enough detail to allow BGCCS to identify the information you want.
BGCCS will provide the information requested within 30 business days unless you are notified of an extension.

VII. HOW CAN YOU CORRECT ERRORS OR OMISSIONS IN YOUR PERSONAL INFORMATION?
You may request corrections if your personal information has changed or you believe your personal information to be inaccurate by submitting a written and fully signed request via fax or regular mail describing the error or omission.

VIII. HOW CAN YOU COMPLAIN WHEN YOU BELIEVE BGCCS DOES NOT COMPLY WITH THE PRIVACY LEGISLATION?
You may address a written and fully signed complaint to our Privacy Officer via fax or regular mail, if you believe BGCCS does not comply with the applicable Privacy legislation.

If you are not satisfied with our response to your complaint, you may ask the Office of the Information and Privacy Commissioner of British Columbia (OIPC) to review the procedures and decisions taken by BGCCS.
IX. WHY I CANNOT DO EVERYTHING VIA E-MAIL
To guarantee your privacy BGCCS follows the Office of the Information and Privacy Commissioner of British Columbia (OIPC) practices of only processing written and fully signed access to and/or correction of your personal information requests. The same applies to complaint procedures.
The Privacy Officer or an authorised member of our staff will contact you to verify your identity. Two pieces of Government issued identifications may be requested for further verification.

BGCCS has forms available for you to facilitate the procedures for access to and/or correction of your private information, as well as, to handle your complaint related to our privacy policies and procedures.
